How to follow up a quote without being pushy

Most quotes that go quiet were never a no. Here is a follow-up routine that wins some of them back and does not make you feel like a pest.

When to follow up

Two working days after the quote, then five, then ten. Day 2 catches the customer while the job is still on their mind. Day 5 catches the ones who meant to reply. Day 10 is a polite close, which often gets the biggest response, because people hate a door shutting.

Working hours only. A text at 9pm from a business reads as spam, however friendly the words. Never on a Sunday, never on a bank holiday.

What to say

Short, in plain words, with the job and the price in it so they do not have to look anything up. Ask one question and give them an easy way to answer. "Are you still thinking about the brake pads on the Golf at £289?" beats "Just checking in to see if you had any thoughts on our recent estimate."

Hi Sam, it's Smith's Garage. Are you still thinking about the front brake pads and discs on your Golf at £289?

How many times

Three. After three unanswered messages the customer has decided, even if they have not told you. A fourth costs you goodwill. Close it off and move on; a good last message leaves the door open for them to come back on their own.

Text or email?

Both, on the same day. The text gets read; the email carries the detail and the buttons. If you only have one, use the one you have.

Make answering easy

Do not ask them to reply to an email or ring you back. Give them two buttons: Yes, book me in and Call me. A tap is something people do in a queue; a phone call is something they put off until tomorrow.

When to stop

The moment they answer, whatever the answer. And the moment they ask you to stop. A customer who asked for no more messages and gets one anyway tells their friends.

Why nobody does this by hand

Because it needs someone to remember, every day, which quotes are two days old and which are five, find the number, and send the message while the phone is going. Chase My Quote does the remembering: you drop the quote in and it runs this exact routine in your name, then tells you who answered.

About this guide. Written by the team at CSN Autos, a garage in Norfolk, from the follow-up system the garage runs on its own estimates. The same routine is what Chase My Quote runs for any business.
